Macquarie University Health is looking for a casual Medical Receptionist and Administrative Assistant to join our team, supporting the smooth day-to-day operations of our clinics across multiple locations.

As a casual team member, you'll enjoy flexibility while contributing to a purpose-driven workplace that values every member of the team. With clinic locations at our Wallumattagal Campus in North Ryde as well as satellite clinics in Hunters Hill and Rouse Hill, no two days will be quite the same.


About the Role

In this role, you will be the first point of contact for patients, visitors and clinicians, ensuring a seamless and welcoming experience from arrival through to departure. Your responsibilities will include:

  • Greeting and checking in patients in a professional and empathetic manner
  • Managing appointment scheduling, cancellations and waitlists across multiple clinics
  • Handling incoming calls, emails and general enquiries with accuracy and efficiency
  • Processing patient registrations, referrals and updating medical records in clinic management systems
  • Coordinating with clinical staff to ensure smooth patient flow throughout the day
  • Managing billing, Medicare claims, private health fund processing and end-of-day reconciliation
  • Maintaining a tidy, organised and welcoming reception and waiting area
  • Performing general administrative duties including filing, scanning, correspondence and data entry
  • Supporting the administrative needs of satellite clinics in Hunters Hill and Rouse Hill as required, including travelling between sites

Please note this role requires travel between our North Ryde campus and satellite clinic locations in Hunters Hill and Rouse Hill. A current driver's licence and access to a reliable vehicle are essential.

You're comfortable working across multiple locations and are always ready to roll up your sleeves to support the team.

Selection Criteria

  • Demonstrated experience in medical reception, healthcare administration or a similar front-desk role
  • Proficiency in practice management software and general office technology (e.g., Microsoft Office Suite)
  • Excellent interpersonal and communication skills with a strong patient-centred approach
  • Exceptional organisational skills and the ability to manage competing priorities in a fast-paced environment
  • High attention to detail, particularly in relation to billing, data entry and patient records
  • Understanding of Medicare, private health fund billing processes and medical terminology is highly desirable
  • Current driver's licence and access to a reliable vehicle to travel between clinic sites (North Ryde, Hunters Hill and Rouse Hill)
